Preparing the Kickoff Pack
On this page
In this lesson, you will learn:
- What a kickoff pack contains
- Why you send it before the meeting
- How the questionnaire starts requirements early
🔁 Quick look back: Last time: Finding the Right Client Stakeholders. You learned how to build a stakeholder list for Clear View.
1 The Problem: People Arrive at Kickoff Unprepared
If people see everything for the first time at kickoff, the meeting slows down:
- Basic questions use up the time.
- Nobody has checked the plan or the dates.
- Requirements start from zero after the meeting.
👉 The fix: Send a short kickoff pack three days before, including the Discovery questionnaire.

2 What goes in the pack
- Agenda with times and speakers.
- Slides: goals, scope, plan, gates, next steps.
- One-page explainer of how Discovery works.
- Glossary of Discovery terms.
- Stakeholder list with what you need from each person.
- Discovery questionnaire for the infrastructure teams to start filling in.
💡 Good to know: Keep the slides short. The pack is for reading. The meeting is for deciding.
3 Why include the questionnaire
The questionnaire asks about sites, networks, servers, devices and security. Sending it early means answers start arriving before the first workshop.
📝 Note: You’ll walk through the full questionnaire in Requirements Gathering › The Discovery Questionnaire: Questions to Ask.
4 Project Clear View: How We Implemented It
📍 Situation: Kickoff is Monday at 10:00 IST, with Oliver joining from London.
🧭 Decision: Send a complete pack on Thursday, so people read it before the meeting.
🛠️ Steps we took:
- Wrote the agenda: goals (10 min), how Discovery works (15), plan and gates (20), roles (15), questions (20), next steps (10).
- Built 10 slides from the plan and value summary.
- Added the explainer, the glossary, the stakeholder list and the questionnaire.
- Sent the pack to Hana, who forwarded it to everyone.
✅ What we verified:
- Hana confirmed everyone received it.
- Ravi and Priya started the questionnaire before Monday.
📁 Evidence: The Clear View kickoff pack, sent Thursday of week 0.
5 Quick recap
- A kickoff pack has an agenda, slides, explainer, glossary, stakeholder list and questionnaire.
- Send it about three days before kickoff.
- The questionnaire gets answers flowing early.
- The pack is for reading. The meeting is for deciding.
