Legacy Change Workflows

On this page

In this lesson, you will learn:

  • What the legacy change workflows were
  • How to spot one on an instance
  • What replaces them today
  • What to do when you find one

🔁 Quick look back: Last time: Change Plans and Change Tasks. You learned how to write the three change plans and split the work into change tasks.

1 “Our change process is in a workflow”

On a project for Company C, you open a change.

  • Its steps are run by an old workflow, drawn in the Workflow Editor.
  • Nobody remembers who built it.
  • They ask: “Can we add a new step?”

🎯 The problem: Old change workflows are hard to change, and new change features aren’t built for them.

👉 The fix: recognize them, and plan a move to change models and flows.

2 Old and new

Old and new ways to run change. Legacy: workflows such as Change Request - Normal, drawn in the Workflow Editor, hard to change safely, still found on older instances. Current: change models set the states and transitions, and flows in Workflow Studio run the steps and approvals, which is where new features arrive.
Figure 1. Recognize the old. Build with the new.
You see… It’s probably…

3 When you meet one

  • Don’t edit it just to add a step. Plan a move to models and flows.
  • Map what the old workflow does, step by step, first.
  • Move one change type at a time, and test it.

💡 Good to know: Need a refresher? See Fundamentals › Flow Designer.

⭐ Remember: Legacy workflows: recognize them. New work: change models and flows.

4 Quick recap

  • Older instances may run change with legacy workflows
  • Look for workflows named Change Request – Normal and similar
  • Today, change models and flows run change
  • Map the old steps before moving
  • Move one change type at a time

5 Check yourself

Think of your answer first. Then tap to check.

1 What runs change on older instances? Show answer

Legacy workflows like Change Request – Normal, from the Workflow Editor.

2 What runs change today? Show answer

Change models and flows in Workflow Studio.

3 Company C wants a new step in the old workflow. What do you suggest? Show answer

Plan a move to models and flows instead of editing the old workflow.

4 What do you do before moving? Show answer

Map what the old workflow does, step by step.

Nice work! You can spot legacy change workflows. 🎉
