Integrating Fulfillment with Other Systems

On this page

In this lesson, you will learn:

  • Why fulfillment talks to other systems
  • What a spoke is
  • SNWR’s laptop order to Company B
  • What to check before building

๐Ÿ” Quick look back: Last time: The Service Catalog API. You learned how another system can order catalog items through the Service Catalog REST API.

1 “Did Company B get the order?”

Desktop Support orders laptops from Company B by email.

  • Someone copies the details from the task into an email.
  • Company B replies days later.
  • The task stays open, with no update for Sam.

๐ŸŽฏ The problem: Copying orders by hand is slow, and nobody knows the status.

๐Ÿ‘‰ The fix: send the order to Company B from the flow, and let their reply update the task.

2 Spokes

Key term: IntegrationHub

The ServiceNow feature that lets flows talk to other systems.

Key term: Spoke

A ready-made set of flow actions for one other system, like “Create order”.

Sending a laptop order to Company B. 1 The SNWR New laptop flow reaches the order step. 2 A spoke action sends the order to Company B's system. 3 Company B ships the laptop and sends back a tracking number. 4 The flow adds the tracking number to the task and comments to Sam: Your laptop has shipped.
Figure 1. The flow orders. The supplier replies. The task updates.

3 Before you build

  • Check the ServiceNow Store for a ready-made spoke.
  • No spoke? Build a simple REST step in the flow.
  • Agree with Company B what data goes each way.

๐Ÿ“ฆ Entitlement check: Spokes use IntegrationHub, and some need a paid subscription. Check what SNWR’s contract covers before you plan.

4 Quick recap

  • Fulfillment often needs other systems, like a supplier’s
  • IntegrationHub lets flows talk to them
  • A spoke is a ready-made set of actions
  • No spoke? Use a REST step
  • Check the subscription before planning

5 Check yourself

Think of your answer first. Then tap to check.

1 What is a spoke? Show answer

A ready-made set of flow actions for another system.

2 How does Sam learn his laptop shipped? Show answer

The flow adds a comment when Company B replies.

3 No spoke exists for Company B. What then? Show answer

Build a simple REST step in the flow.

4 What should you check before planning spokes? Show answer

What SNWR’s IntegrationHub subscription covers.

Nice work! You know how fulfillment talks to suppliers. ๐ŸŽ‰
